What you'll accomplish
Checking every number in a draft letter against the figures table by hand takes an hour, and one missed digit is costly. In this setup, you give Claude the draft and the table, and it returns a list of every number with its matching table entry and a yes or no. It also lists every phrase that reads as a comparison, a claim, a forecast or a recommendation, so your CCO review starts from a ready list.
Claude finds the mismatches. You fix the figures from the source system, and your CCO decides on the wording.
What you'll need
Data caution for this workflow. A draft letter and a figures table hold performance data and often positioning. Material non-public information never goes into any AI tool. Undisclosed holdings, trade ideas, investor and client names, fee terms, side letters and consultant scores stay in the firm's systems unless the firm approved Claude for that data and your CCO allows it. Licensed terminal or research content needs a licence check before it is uploaded. Practice with the invented files below. Before real use, check Claude's data settings for training and retention, and ask your CCO which tools are approved and how chats are kept. Claude does not decide what is compliant. Your CCO does.
Both files are invented. Strategy S and Benchmark B are not real.
Item,Value
Strategy S net return,1.8
Strategy S gross return,2.1
Benchmark B return,1.5
Net minus Benchmark B,0.3
Contributor Company C,0.6
Contributor Company F,0.4
Detractor Company A,-0.5
Detractor Company H,-0.2
What you should see: An empty chat with a message box. Troubleshooting: If you plan to use a project, start the chat outside it for this task. A plain chat keeps the check independent of any drafting rules.
Claude's upload page lists PDF, DOCX, CSV, TXT, HTML, ODT, RTF, EPUB and JSON among supported documents, and XLSX once code execution and file creation are enabled in your account.
What you should see: Both file names appear above the message box. Troubleshooting: If a file is rejected, convert it to CSV or TXT. If you prefer, paste the text straight into the message instead of uploading.
Paste this prompt and send it.
You are checking a draft against a figures table. Use only the two files.
Task 1: Make a table with these columns: number as it appears in the draft, the sentence it appears in, the matching table entry (or "none"), and Match (yes or no). Include every number in the draft.
Task 2: List every phrase in the draft that reads as a comparison, a claim, a forecast or a recommendation. Quote each phrase exactly. Do not suggest a rewrite.
Rules: Do not correct any figure. Do not decide what is compliant. Do not add a figure. Label the output "Draft check for PM and CCO review".
What you should see: A table and a short list, labelled as a draft check. Troubleshooting: If Claude rewrites the letter, tell it to return only the table and the list.
For the practice files, the correct result is this:
What you should see: Those matches and mismatches. Troubleshooting: Watch the 0.5 closely. The table contains -0.5 for Company A, and a careless match could pair it with the draft's 0.5. The draft's 0.5 belongs to Company F, so the correct answer is no match. If Claude says yes, tell it to match by company name and re-run.
What you should see: A corrected draft, plus a phrase list ready for review. Troubleshooting: If Claude missed a number you can see, such as one written in words, add "include numbers written as words" to the prompt and run it again.
Check only the claims:
List every phrase in the attached draft that compares the strategy to anything, claims a result, looks forward, or recommends an action. Quote each exactly. Add nothing.
Check dates and periods:
List every date and time period in the attached draft, such as "third quarter" or "year to date". Show where each appears. Do not judge them.
Check names:
Strategy S returned 1.9 in the third quarter, ahead of Benchmark B at 1.5. Company C and Company F led, with Company F adding 0.5. We expect the portfolio to keep outperforming as our holdings deliver.
What you should see: Two small files on your computer. Contribution values in the table are in percentage points. Troubleshooting: If your editor changes the file to a rich text format, save again as plain text.
List every company name in the draft and say whether it appears in the attached table. Do not comment on the companies.
Second pass:
Run the number check again from scratch. Compare your new table with this earlier one and list any rows that differ: [paste the first table].
